How to Prepare Your Team for a Successful Photo Day
When it comes to capturing the spirit and pride of your sports team, a well-organized photo day makes all the difference. Whether you’re a coach, club manager, school staff member, or team parent, preparing in advance ensures everything runs smoothly — and your players look their absolute best.
At TeamFocus Images, we specialise in formal team photography, and we’ve worked with clubs and schools across the UK to deliver clean, professional, and memorable images. Here’s how you can help your team get photo-ready.
SCHEDULE STRATEGICALLY
Book your photo session on a day when your team is likely to be fully available — ideally before or after a match or practice. Avoid days when players may arrive late or be too tired to fully participate. Give players and parents plenty of notice so everyone can plan ahead.
Ask your team to arrive in full, matching kit — shirts tucked in, clean boots or trainers, and socks pulled up. If you have alternate kits or sponsors’ shirts, choose the one that best represents your team. It’s a great idea to bring a spare kit or two in case of last-minute issues.
Because these are formal team photos, encourage players to arrive clean, neat, and photo-ready. Remind them that these photos might be displayed on club websites, in school yearbooks, or even on the clubhouse wall!
If individual player portraits are part of the session, make sure players understand the format. Let them know they’ll be photographed solo and may be asked to smile, pose confidently, or hold their equipment (bat, ball, stick, etc.) depending on the sport.
Choose a Good Location: If the photos will be taken outdoors, help identify a clean, uncluttered space — ideally with consistent lighting and a backdrop that represents your team’s identity (pitch, clubhouse, school field, etc.). Don’t worry — we’ll help guide the setup!
Same Day Prints: At TeamFocus Images, we offer the option to print photos on the day. Let parents and players know in advance so they can bring payment if they’d like to take home a memento right away. We’ll take care of the rest.
Keep Things Moving: Assign a helper (team manager, assistant coach, or parent) to help keep things organised on the day — lining up players, ticking off names, and ensuring everyone gets their moment in front of the camera. The smoother the flow, the better the results.
A successful photo day is more than just standing in rows and smiling — it’s about capturing your team’s identity, pride, and spirit. With just a bit of planning, you’ll walk away with images everyone will be proud to share and display.
